Frequently Asked Questions (FAQs)

Why is Collabera asking for my social security number and/or my Date of Birth?
Most customers have a vendor management organization (VMO) and a web based portal / tool for Collabera and other vendors to submit resumes for open positions. The tools make it easier for hiring managers, reduce email traffic and allow hiring managers to track a candidate’s profile from resume submission through interview followed by start date on an assignment and extensions. A combination of a part or full SSN and or date of birth are the only unique identifier’s for a candidate in the customer systems and this is the reason our recruiters may ask for your SSN/D.O.B. details at the time of resume submission. We will only ask for that portion of the SSN and/or D.O.B as mandated by the client.
Collabera itself will only require your full SSN for payroll purposes once an offer is made and for any client/Collabera mandated pre-employment checks. Any and all pre-employment checks will be conducted only once you have provided a signed Background check/ FCRA consent form.
Please be assured that your wishes are what is most important to us. if you do not feel comfortable sharing this information with us, we would like to continue to work with you and present your resume to other clients where SSN may not be required.
Is my SSN and other personal data kept secure?
Yes, Collabera is committed to ensuring security and confidentiality of data and have high levels of encryption and access control to the information you provide us. We use secure socket layer (SSL) to record the information and this is stored in SQL server in an encrypted format with access log monitoring on a daily basis. Why do certain clients require an exclusivity arrangement with companies such as Collabera?
The candidate’s resume being submitted by different vendors to the same position can cause confusion for hiring managers and does not help them clearly identify the candidate’s choice of company to work with. We understand that it could be difficult for candidates to keep track of every position they have discussed with recruiters for an extended period of time. This process is a solution aimed at ensuring everybody including the customer, our recruiters and the candidate have a way of tracking where the resume has already been submitted. These processes are defined by the customer and the Vendor management organizations at the customer end and the process and the templates required may vary depending on the customer. I would request you to try and keep track of the authorizations provided and not to submit your profile on this position through any other recruiter. This may cause your candidature to rejected at the client end. If you are not sure about the authorizations you had provided us, please feel free to contact your recruiter and we will definitely help provide the information.
Why is the updated resume requested with such as short turnaround time?
Our objective is to ensure you have the best chance to be interviewed and as quickly as possible. Some customers have a limit to the number of candidates that can be presented for a position and the position may go on hold as soon as the limit is reached. Please be assured we are working towards your best interests and this is the only reason we would want your most updated resume quickly. Further, we would request you to highlight on your resume that work experience or skill set that the client considers most relevant for the position.
It is necessary that we act with a sense of urgency on this because if we delay getting your resume to the hiring manager, he/she may not even get to your resume. Some manager’s work in batches and may have already made the first shortlist and scheduled interviews. In these scenarios the manager will only come back to the next group of candidates if they could not find a qualified candidate from the first group of interviews. By getting your resume to the client quickly, we ensure that you have the best chance to be hired for this contract position.
