Job Description

Role Responsibilities
• Oversee the Internship Program: full cycle recruitment process, onboarding and point of contact for all interns during their participation in the program.
o Recruitment:
? Partner with hiring managers to create job descriptions that will attract the right talent
? Post position on internal and external boards to ensure wide exposure of opportunity
? Source and screen candidates
? Present top candidates to hiring manager
? Schedule telephone, video and onsite interviews.
? Extend offer to candidate and provide overview of the program
? Onboard new hire and follow up on HR documents.
? Answer all inquiries from interns throughout the onboarding process
• Responsible for the first day onboarding of all interns.
o Coordinate first day with other offices
o I-9 completion and tracking for other offices
• Monitor intern term dates and coordinate with hiring managers for extensions or backfill for the role.
• Submit termination notices for payroll and IT purposes.
• Send end of internship forms and surveys to hiring manager and interns.
• Work with payroll team for intern time entry and submission.
• Address any issues with time submission in Kronos.
• Provide overview and information on the internship program to hiring managers, employee and potential candidates.
• Reach out – build relationships with colleges and universities to promote internship program.
• Partner with our graduate program for college recruiting efforts.
• Coordinate visa process for international interns.
o Review documentation to ensure they are eligible to participate in the program.
o Partner with the hiring manager in preparing documents for the visa (training plans, host agreements).
o Work on extension documentation if internship is extended
• Work closely with the visa sponsor organization to ensure that all documents are in order and timelines are met.
• Stay abreast of college hiring best practices and changes in immigration rules and policies that affect international students.
• Assist the Trainees coming from Germany in the processing of their visa and answer any questions. Coordinate first day with hiring manager and onboarding.
• Source of information for any local and international intern inquiries.
• Update
o Intern Tool-kits content as necessary and ensure multi-departmental participation in all edits for accurate information.
o Welcome Packets for local and international interns
o Internship Program flyers.
• Incorporate diversity strategy into the Intern recruitment process.
• Work closely with HR Consultants to ensure interns numbers and approval process is followed
• Coordinate events for the intern community to have an opportunity to network and learn more about the company.
• Utilizing the most effective tools to attract recent graduates, e.g. Glassdoor, LinkedIn, Facebook.
• Create, analyze and present Recruiting reports using various databases around the Intern Program and interview metrics and media showing time to fill, position volume, step and status conversion rates, recruiting source, applicant diversity and filled positions as needed.
• Process confidential hiring documents including applications for employment, background checks and drug tests, and determine eligibility of hire.
• Facilitate Employee Referral Benefit program through communicating all-employee broadcasts with weekly position opening announcements, accepting applications, tracking applicants and paying rewards.
• Process invoices and reimbursement requests related to the internship program to ensure payment for candidates and external vendors for relocation, background checks, candidate interviews and drug screens.
• Respond to unsolicited resumes and upkeep of the Careers email inbox, including inquiries regarding Talent Connect, position openings and Career information.
• Assisting in the coordination of Graduate Program logistics including 130+ video interviews across the country within 2 week timespan, 70+ travel arrangements within 1 week timespan, and 2 full day event planning.
• Researching and attending industry intern recruiting and networking events.

• Years of Experience: minimum 2 years.
• Schedule phone screens, onsite interviews, and travel.
• Adapting quickly to changing hiring priorities and formulate plans to fill new roles quickly.
• MS Excel (Expert Level), MS PowerPoint (Intermediate Level), MS Outlook (Expert Level), MSWord (Intermediate Level) preferred.
• Impeccable writing skills with high level of accuracy.
• Ability to work with minimal supervisor & ability to prioritize multiple tasks.
Strong time management skills & work ethic.
Excellent customer service skills; Superior verbal & communication skills.
• Keeping up to date on latest sourcing tools and techniques.
• Keeping up to date on the latest Internship trends
• Understand immigration laws and basic visa experience preferred
• Developing & maintaining strong communications and business relationships with clients & candidates.
