Job Description
 
• Manages the creation of job bags within the Zinc system for EMEA Medical Affairs activities/projects conducted by the Stockley Park office
• Informs agencies/vendors of job bag reference numbers when new jobs created within Zinc
• Assigns job bags to open access status for review when agencies have uploaded the content of each job
• Proactively manages jobs through review to certification (reminding reviewers of deadlines; reminding agencies to upload job bag content; identifies minor amendments that require follow-up and/or redirection of jobs) to ensure jobs are approved prior to events
• Responds to alerts and queries about jobs (e.g. relating to re-review or reject status, advice on handling comments from reviewers)
• Informs agencies/vendors when jobs are certified and completes archive process
• Liaises with Legal/Business Conduct on significant queries to ensure responses are compliant policies and regulatory/legal guidelines, and ensure compliance across therapeutic area teams within Medical Affairs
• Liaises with reviewers in Affiliate offices to manage review timelines and to respond to queries
• Liaises with agencies/vendors to ensure the Zinc process for review and approval of Medical Affairs activities/projects runs smoothly and meets appropriate deadlines
• Liaises with Business Conduct on internal processes and best practices to support use of Zinc by EMEA Medical Affairs
• Assists in the development of, and updates to, process documents relating to Zinc
• Provides training & support on internal processes and/or best practices; develops solutions to complex problems and troubleshoots issues
• Produces metrics and reports for senior management

• Must have demonstrated excellence in working independently, as well as in the context of a team
• Must have strong analytical skills and demonstrates attention to detail
• Must have ability to apply logic and problem solving skills under pressure
• Must have ability to develop role and to create and implement new processes and working practices
• May have experience in making and implementing improvements to the operations/processes and be adaptable to change
• Basic PC skills (Windows, Excel, Word, PowerPoint.). Experience with electronic document management/workflow systems.
• 2-3 years of relevant work experience in either a healthcare/pharmaceutical or business role.
• The ideal candidate would have a working knowledge of pharmaceutical/biotech operations, preferably in Medical Affairs.
