Summary:
Under general supervision, plans, organizes and coordinates logistical resources to support client’s event and meeting objectives at trade shows, conventions, conferences and
symposiums.

Essential Job Functions:
This is not intended as a comprehensive list; it is intended to provide a representative summary of the major duties and responsibilities. Incumbent(s) may not be required to perform all duties listed, and may be required to perform additional, position-specific tasks.
• Carries out responsibilities in accordance with the organization’s policies, procedures,
and state, federal and local laws.
• Executes meeting planning activities including property sourcing, site inspections, budgeting, scheduling, on-site staffing, audio visual and housing resources, coordination of travel services, ground transportation supervision and all other event related services.
• Responsible for sourcing venues and site visits where appropriate for assigned client’s events including communication with the internal client and property management.
• Prepares, tracks and reconciles all meeting related expenses versus budget and compiles post meeting metrics and analysis.
• Develop and maintain annual event and trade show calendars and databases.
• Manage contractual agreements with hotel properties, Destination Management Companies (DMC), Audio Visual Production companies, event management companies and all other vendors that provide meeting and event-related services.
• Coordinates booth logistics with exhibit Storage Company, selecting graphics, booth layout, design, shipping details and multimedia needs.
• Interacts with marketing and sales management to target conventions that client should attend to ensure proper product positioning within the marketplace.
• Design and implement Standard Operating Procedures for conventions and tradeshows indicated for field sales force and in-house personnel.
• Coordinate logistical aspects including housing lists, transportation needs, VIP requirements, special events, meeting room requirements, catering, and timely invoice reconciliation and processing.
• Ensures compliance with all Company policies and procedures, including safety rules and regulations.
• Performs related duties as assigned.

Required Knowledge and Skills:
Knowledge of:
• Current Good Manufacturing Practices , Food and Drug Administration, and other regulatory requirements.
• Sales & Marketing practices, trends and applications in the pharmaceutical industry.
• Current Company products, policies and procedures.
• Business and personal computer hardware and software applications.
• Business English usage, spelling, grammar and punctuation.

Physical Requirements and Working Conditions:
•Incumbents in this class are subject to extended periods of sitting, standing and walking, vision to monitor, moderate noise levels and occasional business travel.
•With the exception of site visits, work is performed in an office environment. Minimum 25% travel via air, train, or automobile.

Minimum Qualifications:
•Bachelor’s degree from an accredited college or university with major course work in sales & marketing or related field, and five (5) to eight (8) years sales & marketing experience in the pharmaceutical industry; or an equivalent combination of education and experience.
•Certified Meeting Professional (CMP) is highly recommended.
Event, Trade Show and Convention Management experience desired.
