Job Description
 
Serve as a primary back up to a Managing Director / Business Unit Head
Create detailed travels plans, using extensive knowledge of corporate travel for a highly demanding schedule
Assist with Team Expense Processing via the Concur system
Maintain adequate levels of needed office supplies
Assisting with shipping and mailing needs to include Event Marketing needs*
Draft communications and written materials for review

Job Requirements
 
 
Successful candidate will have 7 years experience in an administrative support or similar role. Prior experience supporting director and other high level executives with a great team. Supports executives and administrative staff in general office duties, phone coverage and defers all significant decision making to management. Requires a high level of professionalism and business etiquette. Due to the confidential and sensitive nature of information to which the Executive Assistant may be exposed, discretion is required. Position calls for initiative, independence, and compliance. Must be able to learn quickly and to engage in a number of detailed tasks at once. Must have strong flexibility in regard to the duties assigned.


• Someone who has supported a busy Executive and Managing Director (and their team)
• Heavy experience in travel planning start to finish (to include car / air / train / hotel / preferred airlines). Lots of travel planning. Not concerned with knowledge of our systems as that can be learned, but understanding the concepts.
• Travel Expenses
• Ability to be flexible with duties all with in admin realm to support a busy team
• We do have lots of shipping that occurs. The candidate should be comfortable with moving packages up to 50lbs.
